Staff attendance

Attendance you can trust, without a queue at the machine.

Clock in by face on the kiosk, by card at the door, or on a phone at the site or with the kiosk’s code. Rosters, overtime, leave and timesheets roll up by site, ready for payroll.

Clock-in

The right person, at the right place, at the right time.

Staff clock in on their phone in the Agoo Workspace app: at the site, where the app checks once that they’re inside its geofence or on its Wi-Fi, or by scanning the rotating code on the kiosk. A selfie when you ask for one, your notices shown in the app first, and no tracking in the background, ever. At the door, the kiosk scans their staff badge, printed or shown in the app, reads their card, takes their PIN or matches their face. Both work with no network.

  • Face, NFC card, QR badge, PIN, Wi-Fi or geofence
  • A badge on their phone that a screenshot can’t copy
  • Staff notices and consent, answered in the app
  • A reminder on their phone when a shift starts, or if they forget to clock out
  • Works offline and syncs later

In the Console

See who is in, who is late and who is on leave.

Attendance in the Console shows the day as it happens, site by site: who is in, who has left and, by their shift, who is late or not in yet. Nobody is marked absent until their shift has ended without a clock-in, and never on approved leave or a public holiday; a manager can authorise an absence, paid or unpaid, with a note. Flagged punches wait in one queue to be accepted, rejected or voided with a reason that stays on record. A forgotten clock-out is added, or a wrong time corrected, by a manager with a reason the person is told about, and nothing is ever overwritten. Every screen, the timesheet export and your own systems read the same worked-out day, so the numbers always agree.

  • Today, by site, kept up to date
  • Absent only once the shift has ended
  • Absences authorised, paid or unpaid, on record
  • One queue for punches to check
  • Missed punches added, times corrected, on record
  • Daily hours to CSV, Excel or PDF

Managers and HR

Everyone knows who they report to, and who signs off their time.

Give each person their line manager, start date, kind of contract and weekly hours in People, one at a time, several at once or from a spreadsheet. A manager sees their own team’s attendance and leave, whatever their role, on the Team tab of the Agoo Workspace app: who is in today, who is away, the team calendar and their leave requests, approved with a swipe. They hear on their phone when someone’s shift ends without a clock-in or they work past their hours, and approve their extra time and their timesheets at the end of each period. HR has a role of its own: people’s records, attendance everywhere, leave, timesheets and the payroll export, without billing, security or settings. Leave, timesheet approval and the HR role come with every plan.

  • Line managers, start dates, employment type and contracted hours
  • Managers see and approve their own team, whatever their role
  • A Team tab in the app, with approvals and a deputy while away
  • An alert to the manager when someone doesn’t come in
  • A built-in HR role on every plan, without admin access
  • Leave types, balances and approvals, extra time, timesheet approval and locking

Set up for Ghana

Your working day, set once, with the Labour Act as the starting point.

When you start, Agoo asks how your organisation works: the working week and day, whether the day runs straight through with a paid break or in two parts with an unpaid lunch, the hours after which overtime starts and whether it needs approval, your leave year and annual days, what happens to annual leave nobody took, and how timesheets are approved. Ghana’s defaults are filled in, so you change only what’s different, and Home keeps a short checklist until every setting is confirmed. A change applies from the date you choose, and earlier months keep the rules they had. Agoo keeps Ghana’s public holidays current, adding days declared each year, such as Eid and Shaqq Day, as soon as they’re announced, and emails your Owners and HR with your timesheets already updated.

  • A Staff time step in setup, with Ghana’s defaults filled in
  • A checklist on Home until every setting is confirmed
  • Rule changes from a date you choose, with every earlier version kept
  • Ghana’s public holidays kept current, Shaqq Day included

Leave

Leave that adds up, by the Labour Act.

Every organisation starts with Ghana’s leave types, ready to change: annual leave of at least 15 working days a year, 12 weeks’ maternity leave with two more after an abnormal birth or for more than one baby, sick leave with a certificate after three days off in a row, and paternity, compassionate, study and unpaid leave as your policy sets them. Add your own, paid or unpaid, by the year or each time. Staff ask for leave in the Agoo Workspace app, on their phone, and see the days it counts, the balance it leaves, the public holidays inside it and their own shifts before they send it, with a certificate from the camera if one is needed. Their line manager approves it with a swipe on theirs, or you choose the line manager then HR, HR alone, or no approval at all; on Enterprise, build your own chain of up to five steps. An approver away on leave never holds anyone up: they name a deputy for the dates, or their requests go to their own manager and then HR until they’re back, and a request nobody decides moves up after the time you set. Annual leave counts working days only, so a public holiday, a closed day or a day off never uses it, and a holiday announced later gives the day back by itself. Certified sickness during annual leave becomes sick leave and returns the days; someone recalled early keeps the rest. Every day granted, taken, given back, carried over or adjusted is a line in a ledger with who did it and why, so a balance always shows its working. At the year’s end Agoo carries over what your rules allow, before anyone asks. Sick and maternity leave show to managers only as Away, and medical certificates are kept privately, seen only by the person and HR, and deleted on your schedule.

  • Ghana’s leave types and minimums, ready to change
  • Working days that skip public holidays and days off
  • A balance for each person and type, with every line explained
  • Asked for in the Workspace app, approved with a swipe
  • Line manager, then HR, HR alone or no approval; your own chain on Enterprise
  • Deputies while approvers are away, and requests that move on
  • Sick and maternity leave shown to managers only as Away
  • Sickness during leave and recalls handled as the Act says
  • Carry-over and the year end done for you
  • Certificates seen only by the person and HR
  • Balances and leave to CSV, Excel or PDF

Breaks

Hours worked, not hours at work.

Tell Agoo the kind of day you run, as the Labour Act describes it. One continuous day has a paid break that counts as worked, so nothing comes off. A day in two parts has an unpaid lunch, and Agoo takes it off automatically once someone has worked long enough to have had it, so a half day keeps its hours. Someone who clocks out for lunch has taken their break, and nothing more comes off. Switch on break punches and staff tap Start break and End break at the kiosk, in a browser kiosk or in the app, which shows a live timer on their lock screen: what they punched replaces the automatic break, and a break left open, a long one or a long day with none is flagged for a manager rather than guessed. Someone on a break is still on site, so a roll call counts them. A shift can carry its own break, and HR switches on a nursing mother's paid hour for up to a year. The timesheet, its export and the app show each day's paid and unpaid break and where it came from, so payroll gets hours that are already right.

  • Paid or unpaid, as the Labour Act sorts them (s.40)
  • The unpaid lunch taken off automatically, never from a half day
  • Start break and End break on the kiosk and in the app
  • Clocked or punched breaks replace the automatic one
  • Open, long or missed breaks flagged, never guessed
  • A shift's own break, and the nursing hour (s.57)
  • Paid and unpaid break columns in every timesheet export

Overtime

Every extra hour counted, and approved before it’s paid.

Overtime starts where the hours your rules fix end, so Agoo starts from the Labour Act’s 8 hours a day and 40 a week and lets you set your own. On a shift, the day’s hours are the shift’s paid length; without one, your standard working day’s, never less than 8 hours. A few minutes early or late around a shift don’t count as extra time: a clock-in just before the start counts from the start, and you can round punches to the nearest 5, 6, 10 or 15 minutes, never only one way. Time past the day’s hours waits for a manager, who approves all of it, part of it or none of it with a reason the person sees, in the Console or in Agoo Workspace on their phone, and only approved time counts. Weekly overtime then follows on its own, with no second approval. Shift workers can average over up to four weeks, as the Act allows, and work-rule sets give each group its own hours: office staff on 8-hour days, guards on 12-hour shifts averaged over four weeks. Work on a rest day or a public holiday is counted apart, so it’s never paid twice, and time at night is counted for an allowance if you pay one. The timesheet export carries every column: counted, regular, daily and weekly overtime, rest-day and holiday work, extra time waiting and extra time not approved.

  • Daily and weekly hours, from the Labour Act’s 8 and 40
  • Extra time approved in the Console or on a manager’s phone
  • Approve all, part or none, with a reason the person sees
  • Averaging over up to four weeks for shift workers
  • Work-rule sets for groups with different hours
  • Snap to the shift and rounding, never one way only
  • Rest-day and public-holiday work counted apart
  • Night time counted for an allowance
  • Every column in the timesheet export, ready for payroll

Rosters

Plan the week in minutes, and tell everyone once.

Plan each site on a roster with your people down the side and the days across, a week, a fortnight or four weeks at a time. Drag a shift from your templates onto a day, drag it to move it or hold Alt to copy it, and drag its edge to change the times, by mouse, keyboard or touch, or find someone by name in a long roster. Repeating patterns and rotations, such as 2 days, 2 nights and 4 off with each nurse a couple of days apart, fill the roster eight weeks ahead, and a day you changed by hand stays as you left it. Already plan in a spreadsheet? Import it, shift by shift or person by pattern: every row is checked before anything changes, and the shifts arrive as drafts. Drafts stay hatched and private until you publish; Publish shows what changed, warns you about overlaps, leave and holidays, and asks for a note when a shift starting within 48 hours moves. Each person is told once, in Agoo Workspace or by email, and sees their shifts in the app, in a Next shift widget on their phone and on the kiosk when they clock in. Lateness, absence, breaks, overtime and shift reminders follow the published roster, and a printed roster for the notice board comes on one A4 page with your name and logo.

  • Templates with colours, labels and their own break
  • Repeating patterns and rotations, eight weeks ahead

Timesheets

Approved once, locked for payroll.

At the end of each week, fortnight or month, as you choose, every person gets a timesheet: their days, regular time, overtime, extra time and its decisions, breaks, leave and absences, added up. If you want, staff check theirs in the Agoo Workspace app and confirm it, with a note if something’s wrong. Then the line manager approves it and HR after them, or HR alone, or nobody at all and it locks itself a few days later; on Enterprise, build your own chain. Nothing is approved with a missing clock-out or extra time still to decide: the button says what’s left. Managers approve several at once in the Console, or with a swipe on their phone. Once approved, a timesheet is locked, so the numbers payroll pays from don’t move: changing a punch, leave or a shift on those days means reopening it, with a reason the person is told. A punch that syncs late from an offline kiosk is kept and flagged, never lost. Set your payroll day and approvers hear once a period, then every two working days while timesheets wait, and HR before payroll. A night shift belongs to the evening it starts, never to two days.

  • Weekly, fortnightly or monthly, with a cut-off day
  • Line manager, then HR, HR alone or no approval; your own chain on Enterprise
  • Staff confirm their own in the app, if you want
  • What’s left to fix shown before anyone approves
  • Approve several at once, or with a swipe on a phone
  • Locked once approved; reopened only with a reason
  • Reminders that follow your payroll date
  • Night shifts kept on the day they start

Payroll export

Approved hours, in the file your payroll reads.

On Pro and Enterprise, an approved period goes to payroll as one file. Every hour and day sits under a pay code: regular time, daily and weekly overtime, rest-day work, public-holiday work, night time, paid and unpaid absence, and each kind of leave, from annual and sick leave to maternity and study leave. Agoo’s codes are filled in to start, and you give each one your own name and multiplier, or leave the rate to payroll. The law sets no overtime rate, so Agoo counts the hours and days and payroll pays them. Casual and temporary staff’s public-holiday work goes under a code of its own, as the Labour Act asks (s.77), and someone leaving in the period has their untaken annual leave paid out in days (s.30). Choose CSV or Excel, one row per person and pay code or one row per person, with the details payroll matches people on: employee number, name, department and site. The Excel file adds a Days sheet with each person’s days, hours, breaks and leave, and a Notes sheet with who approved, who is still waiting and why, and anything left out. If your payroll wants its own columns, build your layout once: the columns and their headings, the separator, the date format, hours as 7.50 or 7:30, and the file’s name. Named formats for payroll systems used in Ghana follow. Only approved, locked timesheets go in, and no file goes out with time that has no pay code: Agoo names what’s missing instead of calling it regular time. Every file is kept with its checksum, to download again. If a timesheet is reopened after its file was made, the next file carries only the difference, marked as a correction to that period, and the file you already sent never changes.

  • Approved hours and days by pay code, to CSV or Excel
  • Your own codes and multipliers, from Agoo’s defaults
  • Every kind of leave under its own code
  • One row per pay code, or one row per person
  • Employee numbers and the details payroll matches on
  • Days and Notes sheets in every Excel file
  • Your own layout, built once
  • No file with time that has no pay code
  • Corrections after a reopening, never a changed file
  • Every file kept, with its checksum

Open shifts and swaps

Cover a gap without a round of phone calls.

Post a shift nobody has yet as an open shift, and once the roster is published, the people at the site who can work it hear about it in Agoo Workspace and claim it there: only those not on leave that day, with no other shift at that time and, for a labelled shift such as Ward 3, those who work it. You choose whether a manager approves a claim or the first one takes it. Staff swap among themselves too: someone offers their shift to a colleague by name, or to anyone who can take it, and can ask for one of the colleague’s shifts in return. Once the colleague accepts, the line manager approves it with a swipe, or HR after them, as you choose, the same way they approve leave; a swap between two people on the same shift can stand without approval if you allow it. The roster changes the moment it’s approved, and both people are told. On the roster, on open shifts, on swaps and on every approval, Agoo warns, and never blocks, where the Labour Act’s rules on rest and hours come in: under 12 hours’ rest between working days (section 41), no 48 hours off in seven days (section 42), more than someone’s weekly hours, and night work or overtime that needs a woman’s consent: night work or overtime before her maternity leave, or overtime while her baby is under eight months (section 55). HR records her consent when she gives it. Agoo works this out only from maternity leave already recorded, and nothing about a pregnancy is ever asked or kept.

  • Open shifts claimed in the app, by the people who can work them
  • Claims approved by a manager, or first come, first served
  • Swaps offered to a colleague or to anyone who can take them
  • Exchanges: ask for one of their shifts in return
  • Approved with a swipe, like leave, by the line manager or HR
  • Rest warnings from the Labour Act, sections 41 and 42
  • Consent to night work and overtime recorded, section 55
  • Warnings, never blocks: you decide
