Visitor management

Know who is coming, who is here and who has left.

Invitations with QR passes, a page where visitors ask to visit, documents signed before they arrive, a kiosk for walk-ins, self check-in from a poster at the door, one-tap host approval and a live register of everyone on site, across every gate and branch.

Invitations

Guests arrive with a pass, not a phone call.

Hosts invite from the console or from the Agoo Workspace app on their phone, picking the guest from their contacts. The guest gets a link by SMS, WhatsApp or email to their pass, on your own Agoo address: the date, the host, a map pin and a QR code, and a reminder the day before. From the pass they can tell the host they’re running late, ask for another time or cancel.

  • Single, recurring and group invites
  • Passes work on any phone, by SMS, with no app or account
  • Running late, another time or can’t make it, and the host hears at once
  • “I’ve left” on the pass checks them out
  • Your questions answered and your documents signed on the pass, before they arrive
  • Every pass carries a signed code your kiosks check even when the network is down
  • A half-written invitation survives a power cut or a dropped connection, kept on the computer for the person typing it

Wallet passes

The pass is on their lock screen when they reach the gate.

From their pass page, visitors add the pass to Apple Wallet or Google Wallet in one tap. It carries the same signed QR code, so the kiosk and the guard check it as they would the page, even with no network, and it comes up on the lock screen near your site around the time of the visit.

  • On every plan, wherever a visitor has a pass: invitations, visit requests and in-person bookings
  • Updates itself when the time or gate changes, and is marked as no longer valid if the visit is cancelled or over
  • The host, the site, the time, the gate and directions on the pass, with a link back to manage the visit
  • Agoo’s look on Free, your logo from Starter, and your brand colour from Growth
  • Never offered while a visit waits for its host’s approval

Before the visit

Everything settled before they reach the gate.

Visitors can ask to visit from your own page, answer your questions and sign your documents on their pass, and come back day after day on one pass. Reception sees who is expected, what they’ve agreed to and when their pass admits them.

  • Request a visit, from Starter: a page and a QR poster for a site or your whole organisation, turned on site by site. The visitor confirms their phone or email with a one-time code, chooses why they’re coming and their host by name, and nothing is sent until the host says yes
  • Your privacy notice accepted before every visit, on every plan, with the exact wording they saw kept on record
  • NDAs, waivers and site rules on Pro and Enterprise: signed with a typed name and a drawn signature, a PDF copy for the visitor, and paper signatures recorded at the desk
  • Multi-day passes from Starter: one pass for the week, with daily hours, and back in each morning without a new invitation
  • Pass rules from Growth: single use, an entry window and the gates a pass opens, with defaults for each visitor type and an override at the desk that the audit trail records
  • A request half-typed on a phone is kept there for 24 hours, and the documents editor saves as you write

Walk-ins

Check-in in under a minute, even when the network is down.

The kiosk asks one question per screen, in large type, for someone who may be standing and in a hurry. Name, host, photo, and ID only if your policy asks for it.

  • Search hosts by name or department
  • Where you allow it, visitors name several people, choose a team, or say they have no one in particular to see, with or without a network
  • Photo, ID and signature, per visitor type, with Ghana Cards recorded by number, never photographed
  • Badges printed on the spot
  • Or registered by reception from a phone, with the same watchlist and rules

Self check-in

No kiosk at that door? The poster checks visitors in.

Turn on self check-in for a site, and its check-in posters open a short check-in on the visitor’s own phone: why they’re here, their name and phone, who they’re visiting and your questions for that visitor type. The watchlist, your approval rule and the host’s alert apply just as they do at a kiosk.

  • On every plan, Free included, turned on site by site
  • Hosts found by typing the first letters of a name, never from a staff list
  • Where you allow it, visitors name several people, choose a team, or say they have no one in particular to see
  • The posters you’ve already printed: nothing to reprint
  • Reception sees each self check-in arrive, and a visitor waiting to be let in is told so

Guest and staff Wi-Fi

The Wi-Fi password, for the people checked in, and nobody else.

Save your Wi-Fi once in the Console, and stop writing the password on a card at reception. Visitors get your guest Wi-Fi only while they’re checked in: one scan of the code on the kiosk’s welcome screen joins their phone, their pass shows the password with a copy button, Apple Wallet offers to join, a welcome message can bring it to their phone, and reception can put the code on screen for them. When they leave, it’s gone. Staff join your staff Wi-Fi in one tap in the Agoo Workspace app, see the password only where you allow it and only after unlocking their phone, and are told when it changes.

  • On every plan, and off until you turn it on
  • Every checked-in visitor, chosen visitor types, or only the visitors reception chooses
  • Your Wi-Fi terms accepted first, with the exact wording each visitor accepted kept on record
  • A Guest Wi-Fi poster that always shows the current password, so changing it never means a reprint
  • A welcome message by email, text or WhatsApp at check-in, linking to their pass, with the password in it only if you choose
  • In Apple Wallet and Google Wallet while they’re checked in, gone from both when they leave
  • Passwords sealed with their own encryption key, and every look at one recorded in the audit trail
  • Guest and staff networks kept apart: a staff network never reaches a visitor
  • Who was given it, when and how, exported to CSV, Excel or PDF. Nothing is kept about anyone’s phone

Deliveries

Every parcel logged, told and handed over.

Parcels, envelopes and lunch orders are logged at the desk, at the gate or by the courier at the kiosk, with a photo of the label that suggests who it’s for. The person, or the whole team, is told at once on their phone with a one-time code to collect it, and reminded until they do. Reception hands it over with the code, a signature or a reason of their own, and nothing sits forgotten on a shelf.

  • On every plan, Free included
  • For a person, a team such as Finance, or reception itself, and to reception when the courier doesn’t know
  • Couriers log their own at the kiosk, or from a drop-off poster on their phone, if you allow it
  • Food reminded after 30 minutes, everything else every day until it’s collected
  • Logged and handed over offline in the Agoo apps
  • Labels read by Agoo’s AI if you turn it on, at 1 AI credit a label

Approvals

Hosts approve from wherever they are.

Arrival alerts reach the host in the Agoo Workspace app first, free on every plan, with buttons right on the lock screen: approve or decline, or tell reception they’re coming or to ask the visitor to wait, and reception sees the answer instantly. If the alert doesn’t reach their phone in time, SMS or WhatsApp follows, with a link to answer without signing in. In the app, everything waiting for a host is in one list, and approving works with no signal: the answer goes through as soon as the phone is back online.

  • Answer from the lock screen: approve, decline, “I’m coming” or “ask them to wait”
  • Approve or decline in the Workspace app, even offline
  • Delegates and assistants can approve
  • Escalation when nobody answers
  • Arrival notes: running late, at the gate

Who a visit is for

Not every visitor comes to see one person.

Some come for a whole team, some for two or three people, and some ask for the head of the place with no appointment. A visit in Agoo can be for one person, for several people with one of them leading, for a team such as Admissions or Accounts, or for no one in particular. A visitor nobody has taken yet waits under Needs someone, where the front desk does what reception really does: asks a person or a team, writes down what someone said on the phone, takes the visitor themselves, hands them over, books them in for another time or turns them away.

  • On every plan, Free included, with nothing extra to count
  • Teams with members and a lead, made from the departments you already use if you like
  • Everyone on a visit is told. The first of a team to say yes becomes the host, and the others hear it’s been taken
  • Whoever is asked answers from the Agoo Workspace app, the console or the link in their message: see them, ask them to wait and for how long, not today, or no
  • The kiosk asks who the visitor came to see, and reception works through Needs someone in the console or on a phone, in the Workspace app
  • A director’s or head teacher’s walk-ins go to their assistant, their office or reception first, and they can be left out of the names visitors search
  • Each visitor type decides whether visitors are asked who they came to see, what they may answer, and who receives someone with no one to see
  • Every question, answer and hand-over is on the visit’s timeline and in the audit trail

WhatsApp replies

When visitors reply on WhatsApp, your team answers.

Visitors and guests often reply to their pass or reminder: running late, asking about parking, checking what to bring. Their message comes to your organisation, with the visit or booking it’s about, and they get an automatic reply at once. Reception and security answer every conversation at their sites in the console; the host is told by a notification and answers their own visitors from the console or the Agoo Workspace app, even from the lock screen. Each reply counts as one WhatsApp message, and the Console and the app show what it counts as before you send it. You choose who answers and set a monthly budget for replies.

  • Answer from Starter; on Free you read every conversation and Agoo’s team answers
  • Each reply counts as 1 WhatsApp message (GH₵0.09); after 24 hours, a follow-up counts as 5 (GH₵0.45)
  • A monthly WhatsApp budget for replies, with alerts at 80% and when it’s reached, and a stop if you want one
  • Choose who answers, and whether hosts answer their own visitors; usage by person and site in Reports
  • Photos, documents, quotes and reactions, with ticks that turn blue when they’ve read it
  • Notes and saved replies for your team, and who has each conversation
  • Message a visitor straight from their visit or booking
  • Someone who replies STOP gets nothing more on WhatsApp
  • Fair-use limits on replies keep the number every organisation shares in good standing

Visitor types and questions

Ask exactly what each kind of visit needs.

Every organisation starts with six visitor types (Meeting, Interview, Delivery, Contractor, Event and Other) and adds its own, such as Parent pickup or Vendor. Each type has its own icon, so visitors find their tile at a glance, and its own questions, which the desk asks at check-in.

  • Start from a template for your kind of organisation
  • An icon for every type, picked from Agoo’s set and shown on the kiosk, your visitor pages and in the apps
  • Asked of the visitor, or filled in by staff only
  • Questions asked only after an answer, or only at some sites, on Growth and above
  • Sensitive answers seen only by Owners, Admins and the roles you choose, and deleted after the days you set
  • Drafts saved as you build, even through a power cut, a live preview and every published version kept

Reports

See today as it happens, and any period at a glance.

Home shows who is on site, who is still expected and arrivals by hour against a typical day, and changes as people arrive and leave, with no need to refresh. Reports compare any period with the one before, with trend lines under every number and the busiest times by weekday and hour.

  • Visits by visitor type, site, host, team, department and company
  • No-shows, on-time arrivals, typical waits and how fast hosts answer
  • Export to CSV, Excel or PDF, masked for the person exporting
  • Every export recorded in the audit trail
  • Daily or weekly summaries by email to the people you choose, each counting only what they may see

And more

Everything in Visitors.

Fihankra, the compound house: everyone inside is safe.
  • Visitor types

Six built in, renamed or turned off as you like, plus your own, each with its own icon and questions.

  • Deliveries

Parcels and food logged with a photo of the label, the recipient told with a code to collect it, and reminders until they do.

  • Watchlist

Screen names and ID numbers at check-in, with a discreet alert to security.

  • Documents to sign

Your privacy notice on every plan; NDAs, waivers and site rules signed online on Pro and Enterprise, each with a signed copy.

  • Request a visit

Visitors ask from your page, confirmed by a code; the host approves before a pass is sent.

  • Multi-day passes

One pass for several days, with daily hours and re-entry, from Starter.

  • Passes that work offline

Every pass is digitally signed, so a kiosk can check it with no network.

  • Sites and rules

Sites, gates and zones roll up to head office, each with its own check-in rules.

  • Roll call

An emergency alert from a phone at the desk, and everyone on site in one list.

  • Reports

Visits by site, host, company and hour, exported to CSV, Excel or PDF.

  • Retention rules

Choose how long to keep each kind of data. Deletion runs every hour and is logged.

  • Self check-in

Visitors scan the poster at the door and check in on their own phone, on every plan.

  • Guest and staff Wi-Fi

Visitors join in one scan while they’re checked in, staff in one tap in the app, with every password sealed.

  • Your own address

Passes and visitor pages at yourname.agoo.ardent.africa, or on your own domain from Starter, with your logo and colour as your plan allows, and your logo in the browser tab.

  • Wallet passes

Apple Wallet and Google Wallet, on every plan, with the same signed code.

  • Running late

Visitors tell their host from the pass, ask for another time or cancel.

  • Teams and several hosts

A visit can be for a team, or for several people with one leading, and everyone on it is told.

  • Live screens

Visitors, Home, devices, roll calls, bookings, attendance and WhatsApp update as things happen, without a refresh, and never over what someone is typing.

  • Needs someone

Visitors nobody has taken yet wait in one list, where the desk asks someone, takes them, hands them over or books them in.

  • Through their office

Walk-ins for senior people go to their assistant, their office or reception first. Invited visitors come straight through.

  • I’ve left

Visitors check themselves out from their pass, so the register stays right.

  • Hosting in the app

Hosts see who’s waiting, who’s here and who’s coming, for them or for their team, and approve, invite and resend passes from their phone.

  • The desk on a phone

Reception and guards check people in and out, even offline, and register walk-ins, scan passes and find someone for a waiting visitor from the Workspace app.

  • Notifications first, and free

Alerts reach staff in the Workspace app first, unlimited on every plan, with SMS, WhatsApp or email only if a phone can’t be reached.
